This Privacy Policy outlines how Time Bird ("the Bot," "we," or "our") collects, processes, stores, and safeguards user information. Time Bird is a self-hosted instance of the NadekoBot open-source project with custom configurations, operated independently within the Timeworks Studios Discord server.

By using this Discord server with Time Bird active, you agree to the data practices described below. This policy complies with Discord's Developer Terms of Service and Developer Policy.

1. Information Collection

Time Bird gathers the following categories of information to function:

1 // User Information: Your Discord User ID, display name, and profile avatar.

2 // Engagement Metrics: Statistics on your message frequency and voice channel participation time, which power the bot's experience points and leveling system. We track that activity occurred, not the message contents themselves.

3 // Economy & Rewards: Your account balance in the bot's currency system and a record of transactions (earnings, purchases, transfers).

4 // Disciplinary History: Any warnings, timeouts, kicks, or bans applied to your account, documented with moderator-provided explanations for transparency.

5 // User-Submitted Content: Information you deliberately provide through bot interactions, including custom messages, notes, or game inputs.

Server Configuration: Server and channel identifiers needed to configure and operate bot features.

Message Moderation Logs: When messages are deleted or edited, the bot archives the original text to a staff-only Discord channel for moderation review. This content remains within Discord's systems and is not written to our database.

What We Do Not Collect: Apart from the moderation log above, the bot reads incoming messages in real-time to execute commands, manage rewards, apply filters, and provide features. General conversation content is not logged or stored.

2. Data Storage & Security

All collected information is stored in a database hosted on our independent server infrastructure. The database storage is encrypted at rest. Access is restricted to authorized server administrators and the bot operator.

3. Data Usage

Your information is used exclusively to deliver Time Bird's functionality:

• Server Moderation: Maintaining a record of infractions to ensure consistent and fair enforcement

• Progression Systems: Tracking participation to grant experience points, level promotions, role assignments, and currency rewards

• Bot Features: Powering welcome systems, security tools, games, and server customization

4. Data Access & Third Parties

Time Bird does not sell, lease, or monetize user data. Your information is accessible only to:

• Server Staff: Moderators and administrators who may view discipline records and user statistics through designated bot commands

• Bot Operator: The individual managing the bot's infrastructure and database

We do not disclose data to external parties except when legally required or in response to Discord Trust & Safety investigations.

5. How Long We Keep Your Data

Moderation records, experience points, and currency balances are maintained indefinitely to preserve server history and system consistency. If you leave the server, your data remains on file so that history persists if you return.

6. Your Data Rights

You have the right to request that your personal information be removed from our systems. To initiate a data deletion request:

• Message any server moderator or administrator

• Contact the server owner

• Reach out to the bot operator directly

Following receipt of a valid deletion request, we will remove your personal data within 30 days. Some moderation records may be anonymized and retained for ongoing rule enforcement purposes.
